FAQs on the submission of proposals for the organization of a workshop by Alumni Fellows
1. Funding by the Kolleg:
- Use of the conference room for up to 28 people
- Catering during breaks
- Assumption of travel and accommodation costs for participants
- Support for public relations work
2. infrastructure and technical support
- Elegant and modern infrastructure
- Comprehensive media technology support during the workshop
- Digital live transmission of the event via Zoom® if required
- Recording, editing and archiving of public presentations
3. planning and organization
- Support for the workshop management in planning the course of the workshop
- Registration of participants
- Reception of participants at the start of the workshop
- Microphone service during the discussions
4. materials and printed matter
- Design and printing of the program on request
- Design and printing of the poster
- Creation/distribution of name badges, attendance lists, folders if required
5. public relations and documentation
- Support for press and public relations work before and during the workshop
- Photo documentation of the event
6. catering
- Coffee breaks in the morning/afternoon, lunch if necessary
- Coordination of catering commissioned by the Kolleg
1. accommodation and travel planning
- Booking and organization of hotels and accommodation
- Support with travel planning for speakers and participants
2. extraordinary services
- Night and emergency service
- Childcare during the workshop
- Use of the premises and luggage storage outside the agreed workshop periods
3. publications and mailing
- Support with the production of publications (anthologies, brochures, workshop reports)
- Organization of mailing campaigns
4. spontaneous changes
- Short-term changes to the agreed room utilization
- Short-term deviation from the agreed workshop schedule
- Clear and consistent internal and external communication
- Timely notification of changes to requirements and processes
- the costs of providing the event venues
- the costs of catering in accordance with the Kolleg’s current hospitality guidelines
- participants’ travel and accommodation costs in accordance with the Kolleg’s current reimbursement guidelines
- the costs of public relations support, as well as the costs of designing and printing posters and leaflets as part of the Kolleg’s standard event promotion

Application period:
The last call for applications for the 2027 alumni workshop expired on 31 August 2026. The results will be announced by 30 September 2026. The next call for applications for the alumni workshop on 8 and 9 June 2028 is expected to run from 1 June to 31 August 2027.
